By booking a spot on the Varsity Summer Trip ("Trip"), you agree to the following terms and conditions. Please read these terms carefully before proceeding with your booking.
1. Booking and Payment
- Booking: To secure your spot on the Varsity Summer Trip, you must complete the booking process, including payment of the required deposit.
- Deposit: A non-refundable deposit is required to confirm your booking. The deposit is due at the time of booking and is part of the total trip cost.
- Full Payment: The remaining balance of the trip cost must be paid by the specified date in your booking confirmation email. Failure to make full payment by this date may result in the cancellation of your booking, and your deposit will not be refunded.
2. Cancellation and Refunds
- Cancellation Policy:
- If you cancel your booking 90 days or more before the trip start date (July 5th, 2024), you will lose your non refundable deposit.
- If you cancel your booking less than 90 days before the trip start date, you will not receive any refund. The full trip cost is due, and no refunds will be issued.
- Non-refundable Deposit: The deposit is non-refundable under all circumstances. This is a standard policy to cover administrative and service fees related to your booking.
3. Ticket Transfers
- Ticket Transfer: If you can no longer attend the Varsity Summer Trip, you may transfer your ticket to another eligible person (Oxford or Cambridge student or alumni) provided we are notified at least 60 days prior to the trip start date.
- Notice Period: Please inform us of the transfer in writing with the full details of the person who will be taking your spot. Transfers made with less than 60 days' notice may be subject to a transfer fee.
4. Changes to the Trip
- Itinerary Changes: We reserve the right to modify the itinerary and activities listed on the trip website. Changes may occur due to unforeseen circumstances, weather conditions, or other operational reasons.
- Substitutions: In the case that an activity or event is canceled, we will do our best to offer a suitable alternative, but no refund or compensation will be given for changes.
5. Liability
- Personal Responsibility: By participating in the Varsity Summer Trip, you agree to accept personal responsibility for your actions and behavior during the trip. We will not be held liable for any injury, loss, or damage that occurs during the trip unless caused by our negligence.
- Travel Insurance: It is strongly recommended that you purchase travel insurance to cover potential issues such as trip cancellations, medical emergencies, lost luggage, and other unforeseen circumstances.
6. Behavior and Conduct
- Respectful Behavior: All participants are expected to behave in a respectful manner towards fellow attendees, staff, and the locals in Malta. Disruptive or inappropriate behavior may result in removal from the trip without refund.
- Alcohol and Drugs: Participants must adhere to local laws regarding alcohol consumption and drug use. The legal drinking age in Malta is 17, and any illegal activity will be reported to authorities.
7. Personal Data and Privacy
- By booking, you consent to our collection and use of your personal data as outlined in our Privacy Policy. Your data will be used to manage bookings, inform you about trip details, and send marketing communications if you opt in.
8. Force Majeure
- We will not be liable for any delays, cancellations, or changes caused by events outside of our control, such as natural disasters, political instability, strikes, or other force majeure events.
9. Governing Law and Disputes
- These terms and conditions are governed by the laws of England and Wales. Any disputes or claims arising from these terms will be resolved in the courts of England and Wales.
